2012 Q1 Harrison Pointe Quarterly Membership Meeting Minutes

The Harrison Pointe homeowners meeting was held on November 2, 2011 at Flint Energies located at Hwy. 96, Warner Robins, GA 31088. Mike Hamann called the meeting to order at 7:05 p.m. Board members present: Mike Hamann, Virgil Jones, Jim Reas and Michelle Klingaman. 9 families were represented for the 68 homes in the subdivision. Minutes from the annual meeting were reviewed and approved as presented.

Old Business:

Sidewalk Repairs: Virgil spoke on the sidewalks that are in disrepair in the neighborhood. The following areas have been submitted to the city of Warner Robins for repair: 113 Zachary, 215 Lovorn Circle and 204 Robbie Court. Robbie Court also has an area for resurfacing. At this time, we have to wait for the city to take action. Virgil will continue to monitor.

New Business:

Financial statement was reviewed. We have 3 homes in foreclosure and dues will not be able to be collected. Homes involved are: 101 Robbie Court, 108 Lovorn Circle and 206 Lovorn Circle. A letter will be drafted for those residents that still owe. One resident is making payment on dues owing. A motion was made to approve the financials as presented. Vote carried.

PROPOSAL NUMBER: 20110809-01

Proposal: Get bids from various landscape companies for maintaining the front entrance to the subdivision. A list of maintenance needs will be put together so that each proposal asked for will include the same items.

Action: 20111102, No new information. We need to follow up with Jason on this matter.

Responsible Representative: Jason Spillers

Yard of the Year was discussed. Jim Morey was asked by the landscape committee to finish up the program for this year. Jim will select the Yard of the Year in January and award the sign. All nominations will need to be turned into Jim so that he can make a selection. Michelle will provide what she has and we will need to get paperwork from Jason.

Mike discussed the need to continue our yard upkeep. We can send out a reminder for fall trimming etc.

Socials: Unfortunately the survey that was prepared by Jane did not go out as promised. We will send out an email to everyone to get their thoughts on events for our community to include the upcoming Christmas holiday. Surveys must be returned by Nov. 9th, so that we can proceed with arrangements. We need to utilize the banner area and the bulletin area of the website to get information out to the residents. Hopefully the residents will look at the website for info.

Michelle will coordinate with Jane to get the letter/survey redone and emailed out.

Yard Sale: Jane proposed doing the community yard sale only once per year in October. She is concerned with it being a community sale and the community is not setting up sale tables. The matter was discussed with ideas of putting up the sign, 6 weeks before the sale, do a flyer, and do not run an ad. A vote was taken and the majority opposed the motion.

Jim Morey proposed that we keep the sale to twice per year, Oct and April to align with Mossy Creek. No ad would need to be placed as most communities have a sale this weekend. People look during this time for community sales. We can distribute a flyer prior to the sale with a respond date, if no response, we will not put our sign out...if we get responses the sign will be place at the front entrance. The motion was voted on and approved.

We will put out the Veterans Day flags on Thursday night and they will stay up for the weekend.

Motion was made to adjourn the meeting at 8:30 p.m. All were in favor.

Respectfully submitted,

Michelle Klingaman, Secretary
