Subject: November 12, 2008 Quarterly Meeting

The board meeting was held on Wednesday, November 12, 2008.

The meeting was held at Flint Energies located on Hwy 96

Board members present: Jane K., Mark M. and Michelle K., Gus P is TDY

The meeting was called to order at 7:00 p.m.


1. HPHA Committee Chairpersons

Mark introduced all board members and committee chairpersons. We are not sure that Gene Moore is still serving as Neighborhood Watch chair, we will check on this.

A new lake representative is needed. Jim Morey will volunteer to take over this position. It was also discussed that to put a reattach the side to the pump building and put a hasp on for easier opening. Mark has gone in and cleaned out all the weeds.

With Jim taking over the lake representative position he will step down from the Bylaws and Covenants committee. Jim stated that he believed that Gary Andrews would be willing to chair this position. Mark will check on this.


2. Security

Recently there have been thefts in our neighborhood. We need to be vigilant in this area. Please help your neighbor by watching for open gates, garage doors etc. These thefts were with people home at the time.


3. New Owners

We have discussed putting together a small welcome package/basket when we have new owners in our neighborhood. If you know someone moves in next to/or around you, please let a board member know.


4. Dues

We still have a few homeowners with outstanding dues. We will continue to work this area and take the necessary action.


5. Street Sweeping

It was proposed that the street sweeping be changed from 4 times per year to twice a year, as needed. This was put into place when they were still building in our area. Most of the construction is now done. You may request it by contacting a board member.


6. Community Projects

a.Benches & Trees-It was proposed last year by the landscaping committee to put in benches and trees to help beautify our community. There was discussion on who would give up a corner of their yards for this and also who would maintain these. We will re-address this issue at the next board meeting.

b.Mailboxes-Each household should be maintaining their own mailbox. We do have a few renters in our neighborhood. We will check on picking up clips and replacing parts as needed (check the IPB catalog)

c.Pets-We must continue to be vigilant in cleaning up after our dogs as we walk them. If you note a problem in your yard, please let Mark know so it can be addressed. Please watch your cats as well. We do have some that are roaming the community

d.Christmas Walk-We have food left over from the pool party. We will be providing a light dinner and then walk and view the houses open for the evening.

e.Garage Sale-Jane inquired if we still wanted to promote and hold the garage sales. Warner Robins does restrict households to 2 per year. This gives you an extra opportunity to sell. These are held twice a year in conjunction with the Mossy Creek Festival. At this time, members want to keep these in place.


7. Community Ideas

a.Reflective House Numbers-these are the ones that are painted on the curb. Very helpful for emergency equipment and personnel. Jody will check on this and report back to us

b.Meeting Location-We discussed moving the meeting to another location, possibly outside during the summer etc. We also talked about putting up a sign as a reminder for the February meeting. We will also put out reminders at the houses for the February Meeting.

c.Yard of the Year-Discussed the Yard of the Year program. The Board found the sign to be a bit pricey for just one home. Talked on the possibility of changing the sign so that it can be used in following year. We could leave the date off. We also talked on getting a sign to put on the mailbox instead of the yard sign. We believe it will not fit our type of mailbox poles. We will check Lowes for prices and also see about them providing a nice sign with the sponsoring being done by them. Jim Morey will continue to complete this project for the community.

9. Minutes and financials

Minutes and financials from the last general meeting held were approved and seconded.


10. Fire ants

Fire ants were brought up by a member. They seem to be in most yards during the spring and summer and tend to spread each year. We discussed a community spraying of front yards. The Board will need to discuss this. It was mentioned that Ortho Max tends to work well.
