Harrison Pointe Board Meeting Minutes - September 18 2007
Location: Meeting was held at President Morey’s house
Time: The meeting started @7:30 PM
ATTENDANCE:
Board Members: President Jim Morey, Vice President Jason Spillers, Treasurer Gus Pellegrino and Secretary Jim Turner
Committee Members: Linda Webb, Jane Krumwiede and Kurt Albrighton
Agenda Items:
COMMITTEES:
1. Proposed the formation of a Landscape Committee
A.Responsibilities: Include but not limited to oversight of the maintenance of the main entrance, to include recommendation of planting material, ensure proper lighting, and that the grounds are mowed edged and trim so as to maintain a pleasing and welcoming entryway to Harrison Pointe
B.Nominated as chairperson of the Landscape Committee: Linda Webb
C.Secretary Jim Turner will serve as the liaison for the committee and the HOA
2. Proposed the formation of a Security and Safety Committee
A.Responsibilities: Oversee the neighborhood watch program; act as liaison with the Warner Robins Police Department. Make recommendation for need and placement of warning and traffic control signs.
B.Nominated as chairperson of the Security and Safety Committee: Gene Moore
C.Treasurer Gus Pellegrino will serve as the liaison for the committee and the HOA
3. Proposed the formation of a Social Committee.
A.Responsibilities: Oversee the coordination of social events for Harrison Pointe, these would include but not limited to Block Parties and Semi- Annual yard sales
B.Nominated as chairperson of the Social Committee: Jane Krumwiede
C.Vice President Jason Spillers will serve as the liaison for the committee and the HOA
4. Proposed the creation of a bi-monthly newsletter to include inputs from all committee and board of directors
5. Proposed the formation of a Covenant, By-Laws and Rules Committee Responsibilities would include but not limited to review and make recommendations as to the need and applicability for existing rules, make recommendations to change or add rules and determine enforceability of proposed rule changes.
6. President Jim Morey instructed that all committees submit their recommendations to the Board of Directors and no committee or committee member is authorized to commit funds, enter into contracts or make purchases on behalf of Harrison Pointe without the approval of the board of directors.
BOARD MEMBERS:
1. Proposal: The board of directors with the assistance and input from committee members shall prepare a survey to be distributed to all residents of Harrison Pointe as a means to gage the way residents feel about the community and determine were and how improvements may be made.
2. Proposal: The By-Laws be amended to add rights to Article III, Section 3:4: Rights of Membership and Article III, Section 3:5: Responsibility of Membership and Article VI, Section 6:6 be deleted and replaced with Article VI, Section 6:6: Rights and Responsibilities of Board of Directors, Article VI, Section 6:6:1: Rights of Board Members and Article VI, Section 6:6:2 Responsibilities of Board Members.
3. Proposal: Obtain two additional landscaping bids for the front entrances. All quotes to include mulching cost.
4. Proposal: Archtechical Review: Kurt Albrighton to review archtechical regulations and hand down recommendations on enforcement.
5. Proposal: To become a member of Community Association Institute (CAI). To purchase literature from CAIonline.org on how to effectively run a HOA. Membership cost $105 annually.
6. Proposal: The By-Laws be amended to add Article VI, Section 6:7: Responsibilities of Board of Directors (see attached).
